Inventory
The inventory section of Reef Pay allows you to build an inventory of options that can be used for virtual sales, plans, and invoices. These options will also be available on our companion point-of-sale application, Reef POS.
By utilizing this section, you can quickly and efficiently manage many vital components of your business. These components include:
- Departments
- Categories
- Items
- Modifiers
- Vendors
Departments
Departments allow your business to define taxable groups of items for your inventory. You can provide varying tax rates for different groups of items.
To access your departments, select Departments under the Inventory dropdown.

Creating a Department
- Click New Department.
- Enter the department name.
- If taxable, enter the department tax rate.
- If non-taxable, make sure to uncheck Taxable to ignore the tax rate.
- Click Create.
Editing a Department
- To edit an existing department, double-click the row of the department.
- To delete a department, click the red trash icon on the row of the department.
Categories
Categories allow you to organize your inventory items for reporting purposes.
To access your categories, select Categories under the Inventory dropdown.

Creating a Category
- Click New Category.
- Enter the category name.
- Click Create.
Editing a Category
- To edit an existing category, double-click the row of the category.
- To delete a category, click the red trash icon on the row of the category.
Items
Items are the products in your business's inventory. These items are available for you to use on things such as the virtual terminal, invoices, and plans.
To access your items, select Items under the Inventory dropdown.

Creating an Item
- Click New Item.
- Enter the necessary item information.
- Item Name - The display name of the item.
- SKU - The barcode of the item.
- Department - The department of the item.
- Category - The category of the item.
- Vendor - The vendor that supplies the item.
- Cost - The total cost for the item.
- Cash Price - The price of the item if payed in cash.
- Price - The price of an item and is calculated based on the cash price. You can edit this field if you select the Override Price option.
- Quantity - The amount of the item currently in stock.
- Par - The minimum quantity of the item you wish to maintain in your inventory.
- Active - Determines if the item is currently available for sale.
- Discountable - Determines if discounts can be applied to this item.
- Prompt Price - Determines if the item price should be prompted during a sale.
- Use Mods - Determines if the item can use mods.
- Is Guided - Determines if mods should be prompted during a sale.
- Override Price - Allows you to explicitly set the Price of the item.
- Is Gift Card - Determines if the item should be treated as a gift card during a sale.
- Click Create.
Editing an Item
- To edit an existing item, double-click the row of the item.
- To delete an item, click the red trash icon on the row of the item.
Modifiers
Modifiers are additional options that can provide additional instruction or charges to an item. This is most useful for merchants such as restaurants. These modifiers will be available to any item that has Use Mods enabled.
To access your modifiers, select Modifiers under the Inventory dropdown.

Creating a Modifier
- Click New Modifier.
- Enter the modifier name.
- Enter the modifier price.
- If you would like the modifier to prompt for quantity when selected, enable the Prompt Quantity option.
- Click Create.
Editing a Modifier
- To edit an existing modifier, double-click the row of the modifier.
- To delete a modifier, click the red trash icon on the row of the modifier.
Vendors
Vendors allow you to store contact information about your business suppliers. This can help facilitate the tracking of your inventory between vendors and allows you to organize your inventory even further.
Utilizing vendors is Optional, but highly recommended for organizational purposes.
To access your vendors, select Vendors under the Inventory dropdown.

Creating a Vendor
- Click New Vendor.
- Enter the vendor name.
- Complete any optional fields as necessary.
- Click Create.
Editing a Vendor
- To edit an existing vendor, double-click the row of the vendor.
- To delete a vendor, click the red trash icon on the row of the vendor.
